How BPM Guided a Community Bank Through a Secure Migration to Microsoft 365

For decades, a community bank proudly served customers throughout Oregon. Behind the scenes, however, the institution was relying on an aging on-premises Microsoft Exchange environment that no longer aligned with its evolving technology strategy. As communication and security demands increased, the bank recognized the need to modernize how colleagues connect, collaborate, and securely access information. 

Problem  

All of the bank’s locations depended on an on-premises Exchange environment supporting approximately 150 user and shared mailboxes across the institution. The aging infrastructure limited resilience, security, and remote accessibility, and it created long-term scalability concerns for a growing financial institution. 

This is a familiar bind for community banks. On-premises Exchange servers require ongoing patching, hardware refreshes, and dedicated internal expertise to keep pace with evolving security threats, all while regulators expect financial institutions to demonstrate strong controls over the systems that carry sensitive customer and transaction data. For this bank, the calculus was becoming harder to justify: their IT team was spending an increasing share of its time maintaining legacy infrastructure rather than supporting the branches and colleagues who depended on it.  

They needed to modernize their messaging platform without introducing downtime or putting sensitive financial data at risk, a high bar for any regulated bank managing daily operations across multiple branches and shared mailboxes used for everything from loan processing to customer service.

BPM’s Managed IT team began with a thorough discovery and readiness assessment to map the bank’s existing Exchange environment, inventory mailboxes and dependencies, and identify the requirements for a smooth transition to Microsoft 365. That groundwork gave the team a clear picture of the bank’s technical landscape before any changes were made, reducing the risk of surprises once migration began. 

From there, BPM configured a hybrid Exchange setup and synchronized Entra ID to bridge the bank’s on-premises and cloud environments, allowing the bank to maintain continuity for users and systems that were not yet ready to move while opening the path for phased migration. The team then built a mailbox migration plan that grouped users deliberately rather than moving all 150 mailboxes at once, pairing each phase with coordinated communication and support so that the bank’s colleagues across all locations knew what to expect and when. 

Mailboxes were migrated in these controlled phases, with mail flow, calendar functionality, mobile access, permissions, and data integrity validated at every step along the way. That measured approach let BPM catch and resolve issues early, before they could affect a broader group of users, and it gave the bank’s IT team visibility into the process rather than a single high-stakes cutover. Throughout the migration, BPM also worked to protect the sensitive financial data flowing through the bank’s messaging systems, ensuring security and compliance considerations were addressed alongside the technical mechanics of the move. 

The bank completed its migration to Microsoft 365 without business disruption, giving colleagues a more reliable, secure, and accessible messaging platform, one better suited to remote work, mobile access, and the bank’s continued growth. The phased, validated approach meant that by the time the last mailboxes moved, the bank’s team had already seen the new environment perform reliably for hundreds of users, minimizing risk and building confidence in the platform. 

Moving Exchange services to the cloud also reduced the burden of maintaining on-premises infrastructure, freeing the bank’s internal IT resources to focus on strategic technology initiatives, cybersecurity, and other business-enablement priorities instead of day-to-day upkeep and patch management. For a community bank balancing limited internal IT bandwidth against the demands of a modern, security-conscious operating environment, the migration marked a meaningful shift, from maintaining legacy systems to building toward the bank’s next chapter of growth.
